Leave rules and automatic lesson deductions: parents know the outcome before they ask for leave

Kebao lets you set your leave rules by answering 5 scenario questions. Before parents submit a leave request on LINE, they see whether the lesson will be deducted or earn a make-up voucher. Once submitted, the system deducts the lesson or issues the voucher by your rules, and the ledger records the rule version and the reason.

  • Default cut-off: 24 hours before class
  • Adjustable monthly make-up voucher cap
  • Rule changes never apply retroactively
  • National holidays skipped automatically

Why should leave rules be agreed up front?

The most common dispute for tutors and tutoring centres is not whether to deduct a lesson, but that the rule was never made clear. Explaining it again every time someone asks for leave wears on the relationship, and staying quiet means you take the loss.

Kebao writes your rules in plain language parents understand and shows the outcome before they tap "request leave". You decide the rules; the system applies the same standard every time and keeps a record of why.

Which leave rules can I set?

  • Leave cut-off: how many hours before class a request still counts as on time (default 24 hours).
  • Late leave: deduct 1 lesson, deduct half a lesson, no deduction but no make-up, or no deduction plus a make-up voucher.
  • No-show (no leave request, didn't attend): deduct 1 lesson, deduct half a lesson, or no deduction.
  • Make-up vouchers: monthly cap (default 2), what happens to on-time leave once the cap is reached, and validity (default 30 days).
  • Group-class leave: make up in another session of the same course, provide a recording, or no make-up.
  • Low-balance renewal: send a renewal notice automatically when a student has a set number of lessons left (default 2).

What do parents see when they ask for leave?

When a parent picks the lesson on LINE, the outcome appears first, for example "Leave now: no deduction, 1 make-up voucher" or "Past the 24-hour cut-off: 1 lesson will be deducted under your tutor's rules". Only then do they confirm.

After submitting, the parent receives a result card from your LINE Official Account stating that it follows your course rules, along with the remaining lessons. You get a notification too.

How do make-up vouchers work?

  • You open make-up slots; parents book one themselves with a voucher before it expires.
  • You can approve each make-up booking or set them to confirm automatically.
  • Parents get a reminder before a voucher expires.
  • When you cancel a lesson yourself, the system issues a voucher automatically, and it doesn't count towards the monthly cap.

If I change the rules, do past records change?

No. Every save creates a new rule version, and every deduction carries the rule version in force, how many hours before class the request came, and who made it. A rule change only affects leave requested afterwards.

For illness, natural disasters and other special cases, you can waive a single decision in one tap. The returned lesson is recorded in the ledger too, and the parent is notified.

Are lessons cancelled automatically on national holidays?

Yes. The system follows the government calendar and skips national holidays and make-up days off, with no deductions and no class reminders. You can switch any individual date back to a normal class.

FAQ

Do parents have to request leave through LINE?

We recommend it, because that's how parents see the outcome before they submit. If a parent hasn't linked LINE, you can mark the absence or adjust the lesson count in the dashboard, and the ledger records it the same way.

Can I relax the rules for one student?

Rules apply to your whole account. For individual cases, waive the single decision; the ledger keeps the reason.

What if I forget to mark a lesson as completed?

You get a reminder every morning about lessons you haven't marked. You can also have lessons count as completed automatically a set number of hours after they end.
