Chasing tuition without the awkwardness: renewal reminders for tutors and tutoring centres

Kebao team · Updated October 3, 2026

The key to chasing tuition without awkwardness is making reminders a fixed routine rather than a personal ask: send a renewal notice automatically when 2 lessons are left, give every payment request a due date, remind once before it's due and once after, and word messages as "per the course rules".

  • Reminder at 2 lessons left
  • Payment requests have a due date
  • One reminder before, one after the due date

Why is chasing tuition so hard?

Tutors and parents are close, so a payment reminder can come across as "the tutor wants money". The result is often waiting until the last lesson, or teaching first and collecting later, which makes the next term even harder to raise.

The fix is for every parent to receive the same reminder at the same point with the same wording, so chasing payment becomes a process rather than a personal favour.

5 steps to renewal reminders

  1. Set the renewal threshold

Notifying at 2 lessons left is most common: parents get about a week to prepare and lessons aren't interrupted.

  2. Issue a payment request with a due date

State the number of lessons, the amount and the due date, for example "8 lessons, NT$6,400, please pay by 15 Oct".

  3. Offer simple payment methods

Card online, ATM, convenience-store code or bank transfer. Fewer options mean fewer steps, and parents pay sooner.

  4. Remind once before the due date

Send a reminder 1 to 2 days before the due date, in a neutral tone, with the payment link.

  5. Remind once after it's overdue

After the due date, remind again and explain what happens next, for example no new lessons are scheduled until payment is made.

How should reminder messages be worded?

The key is to be specific (lessons, amount, date), include the link and explain it "per the course rules", avoiding apologetic phrasing like "sorry to bother you" that makes both sides uncomfortable.

  • Renewal notice: "Alex has 2 lessons left in the current package (9 Oct, 16 Oct). Renew 8 lessons for NT$6,400 using the link below by 15 Oct."
  • Before the due date: "A reminder that Alex's package renewal is due tomorrow, 15 Oct. The payment link is below. If you've already paid, please ignore this message."
  • Overdue: "Alex's package renewal is 3 days overdue. Under the course rules, no new lessons will be scheduled until payment is made. Just reply if you have any questions."

What if a parent says they've already paid by transfer?

Ask the parent for the transfer date, amount and the last 5 digits of their account, then check against your bank statement. If something doesn't match, say exactly which detail differs rather than guessing. See the bank-transfer reconciliation guide for the full process.

Send renewal reminders automatically with Kebao

Kebao sends a renewal notice and payment link automatically when a student is down to the lesson count you set (Pro and above), and reminds parents before and after the payment due date, all from your LINE Official Account. Once a parent pays or you confirm a transfer, the lessons are added and a receipt is issued automatically.

FAQ

Should I collect payment before teaching?

We recommend it. Prepaying for a lesson package is the most common practice for tutors and tutoring centres, and it saves chasing payment after the lessons are done.

What if a parent keeps delaying payment?

Write down in your rules what happens when payment is late, for example no new lessons are scheduled, and mention it in the overdue reminder. Following the rules is easier than negotiating case by case.

Will too many reminders put parents off?

One renewal notice, one before the due date and one after is usually enough. Specific messages with payment options are less intrusive than repeated private messages.
